In Kenya, many sales conversations end on WhatsApp. Customers find you on Google, Instagram or a poster, then send a message to ask a price, check availability or place an order. Setting up WhatsApp Business properly makes those conversations faster and more professional.

Why use WhatsApp Business instead of regular WhatsApp?

The free WhatsApp Business app adds tools made for businesses:

  • A business profile with your address, hours, description, email and website
  • A catalogue to show products or services with photos and prices
  • Quick replies for answers you type often
  • Labels to organise chats, such as New lead, Paid, Follow up
  • Greeting and away messages that reply automatically

Step-by-step setup

  1. Use a dedicated business number that the whole team can rely on, not a staff member's personal line.
  2. Complete your profile: logo as the profile photo, a clear description, category, address or service area, hours, email and website.
  3. Add a catalogue with your main products or services, clear photos, short descriptions and prices or "from" prices where possible.
  4. Write quick replies for common questions: prices, location, delivery, payment options, booking.
  5. Set a greeting message that thanks people and tells them what to expect.
  6. Set an away message for after hours, including when you'll reply.
  7. Create labels and use them every day so no lead is forgotten.

Make it easy to reach you

  • Add a WhatsApp button to every page of your website using a click-to-chat link (wa.me/your number).
  • Put your WhatsApp number on Google Business Profile, social media bios, receipts, posters and vehicles.
  • Use click-to-WhatsApp ads on Facebook and Instagram to start conversations directly. See our Meta ads guide.

Good WhatsApp etiquette

  • Reply fast. A quick response often decides who gets the sale.
  • Ask permission before adding people to broadcast lists, and make it easy to opt out.
  • Don't spam. Send broadcasts only when you have something useful: a new product, an offer or an important update.
  • Keep it professional: clear spelling, polite tone, no voice notes for important details customers need to refer back to.
  • Move complex issues to a call when typing becomes slow.

Combine WhatsApp with email

WhatsApp is great for quick conversations; email is better for receipts, detailed proposals and newsletters. Our guide to email marketing for small businesses explains how to use both together.
